| Entering the Audit Findings To enter the findings for an audit:
The Audit Entry screen allows the Auditor to classify each of the audit criteria in the audit structure as pass or fail, or mark them as not inspected or not applicable. The Auditor can also add a file or comment to each audit criterion:
The left-hand section of the screen shows the audit structure, and allows you to expand or collapse headings or subheadings by clicking the > or V symbol to the left of each heading. Recording Findings
The following buttons become available below the audit structure:
You can also classify an audit criterion by clicking the square to the right of the audit criterion in the audit structure, and choosing the classification from the pop-up menu:
A checkmark will be displayed to the right of the Audit Criterion in the audit structure to show its classification. The higher levels in the structure will show a - symbol if any of the lower levels have not yet been classified, an x if any of the lower levels have been classified as Fail, or a tick if all the lower levels have been classified as Pass, Not Inspected, or Not Applicable. To record a finding
You can display information about the meaning of each risk factor by clicking the 'i' button to the right of the Risk Factor pop-up menu.
The Classification, Risk Factor, Finding, and Recommendations fields are all mandatory. If there are inventory items associated with the section or subsection, select which items are applicable to the finding in the Associated Inventory section. For information about associating inventory items see Editing the Audit Criteria.
Displaying Findings
The right-hand panel will show a list of the findings applicable to that section:
Clicking the audit title, eg Audit 1 rev 0, shows all the findings for the whole document. The following information is shown about each section:
Adding a File or Comment To add a file:
The following screen allows you to add a description to the file, and attach the file by browsing for it in the filing system.
If the file is a picture file, with a .gif or a .jpg extension, it will be shown in-line within the audit report. For other types of files a link to the file will be provided in the Audit Report.
If the attachment is a picture it will be displayed in-line in the Acrobat (pdf) version of the audit report. To add a comment
The following screen is displayed to allow you to enter the text of the comment:
If a section has an attachment or comment, a symbol will be displayed to the top right of the classification checkbox:
Adding a Finding
Adding a finding to an audit criterion is equivalent to classifying it as Fail. Editing a Finding, File or Comment
The Audit Entry screen will be displayed to allow you to edit the finding, file, or comment in the same way as for adding a new finding, file, or comment. Completing the Audit DocumentOnce all the findings have been entered, the audit document can be put out for review. |
