Introduction
Inspect automates each stage in the production of an audit, from specifying the audit criteria through to publishing and reviewing the audit, by managing the activities associated with each role in the auditing process.
Roles
Inspect distinguishes the following roles in specifying, running, and reviewing an audit:
Measurement Co-ordinator The Measurement Co-ordinator maintains control of the complete audit process, from setting up a new audit and specifying the audit criteria, to releasing the audit and checking the findings.
Auditor Manager The Audit is released to the Auditor Manager who is responsible for allocating the audit to an Auditor.
Auditor As the audit proceeds the Auditor enters the findings, including comments, and recommends corrective actions, responsibilities, and close out dates. The Auditor's findings can be supported by images, scans, or video file attachments.
Reviewer
The Auditor submits the document for review by a Reviewer, who can make changes, or add notes to the findings, highlighting issues that need to be addressed.
Operations Personnel
Once findings have been reviewed and modified if necessary, the audit is signed off and a formal audit report is published for viewing by operations personnel given the responsibility to close out corrective actions.
Revisions
Inspect includes a built-in revision control system, which automatically increases the revision number of the audit at every stage and maintains copies of every earlier revision so that they can be examined to provide a complete history of the progress of the audit.
Email Notifications
Inspect includes automated email notification at appropriate stages in the audit process, including notifying the Auditor that they have been assigned to the audit, and notifying the manager when the audit is complete and ready for review.
Overview
Inspect automatically manages the progress of the audit through the following stages:
New Audit
The Measurement Co-ordinator creates a new audit and specifies the audit criteria in a hierarchical list of sections.
Ready
The Measurement Co-ordinator assigns an auditor to the audit and releases the audit. At this stage the Auditor is automatically notified by email that the audit is ready to be worked on.
Active
The Auditor is working on the audit, classifying each audit criterion as pass or fail, and adding findings, comments, and file attachments to the audit.
Review
The audit has been passed to the Reviewer for review.
Reviewed
The audit has been reviewed and is ready for the Auditor to address issues raised during the review.
Complete
The audit is complete and ready for publication by the Measurement Co-ordinator.
Published
When the audit has been signed off by the Measurement Co-ordinator a formal copy of the report is published for viewing by interested parties, and operators given the responsibility to close out corrective actions.
